CCSA: from Excel to one audit system

The Continuing Care Safety Association (CCSA) is the safety association and Certifying Partner for Alberta's continuing care sector. It supports 375 member organizations and about 100 auditors.

The challenge

CCSA was running COR audits in a complex Excel-based tool. It was prone to frequent errors, which meant troubleshooting and corrections that delayed members' audits. Fixing errors and managing the tool took CCSA considerable time, away from strategic work.

The tool also couldn't scale to growing needs or support advanced features such as year-over-year audit comparisons.

The solution

AuditSoft worked with CCSA to tailor the software to its processes, including the complexities of its COR requirements. Members and auditors were used to the old system, so CCSA paid the licence costs for its members, which removed a financial barrier and made the change easier to accept.

AuditSoft trained 95 internal auditors on March 27 and they were fully rolled out the next day, with support available after that.

Results

Scores are calculated automatically, the tool flags missed sections and gives tips through the audit, and one click generates a professional PDF with links to all supporting evidence. Auditors submit the final report from the app, without sharing large files.

Dana Loeppky no longer spends time fixing errors in the Excel tool. Support tickets get an average first response in 13 minutes and are resolved in an average of 30 minutes.

Since the move to AuditSoft, I have not had to spend any time on error resolution in excel, so I can now focus on my strategic priorities.
